Insurance Information for Psychotherapy and Counselling Services

Services offered at Mindful Maelstrom are not covered by OHIP. However, some of our services may be covered by private extended health benefit plans.

It is important to note the difference between a Psychologist a Psychotherapist and a Social Worker, and how this may determine your coverage. Please check your benefits before booking to confirm your coverage, as plans vary widely. Mindful Maelstrom, our clinicians and staff are not responsible should your sessions be rejected by your provider. Invoices will be sent to you upon payment by email to be remitted to your provider for reimbursement. 

We are not able to direct bill for therapy services at this time.

Direct Billing

Direct billing is available for Registered Massage Therapy, Acupuncture, Naturopathic Medicine for the following insurance providers: Canada Life, Manulife, Sun Life, LiUNA Local 183, Chamber of Commerce, Industrial Alliance and Green Shield. Please provide your insurance card before your appointment. You will be responsible for any outstanding, rejected or co-pay amounts. Unfortunately we are not able to direct bill for other modalities at this time.

Sliding Scale / Reduced Rates

Our Psychotherapists each hold a limited number of spots for existing clients who are uninsured and unable to pay the full session fee due to unexpected financial hardship. A rate reduction application form must be completed with proof of limited income. Periodically, your ability to pay will be re-evaluated. This is to ensure these spots open up for others in need.

For new or existing clients looking to access support but are experiencing financial hardship, we offer our Affordable Therapy program with our training therapists.

Credit Card Policy

Mindful Maelstrom requires all clients to keep a valid credit card on file. This policy isn’t personal; we apply it equally to all of our clients. We understand there are legitimate reasons that a client might not have a credit card. In order to book an appointment without one, clients must first purchase a gift certificate for the amount of the service they wish to book. This can be done in the clinic by paying with Interac or E-Transfer, or over the phone by sending an E-Transfer.

Payment Policy

Payment for your session is due at the end of the appointment. Accepted methods of payment include Interac, VISA, Mastercard, AMEX and E-Transfer. Invoices for private health insurance or income tax purposes are provided. New appointments will not be booked for clients with outstanding account balances.

Cancellation Policy

We’re committed to providing excellent care and ensuring that all clients have access to appointment times that suit their needs.

Standard Cancellation Policy
Effective January 2, 2025, our standard cancellation policy is in place:

  • Cancellation Notice Requirement: A minimum of 24 hours' notice is required to cancel or reschedule appointments.

This allows us to accommodate other clients who may be waiting for an available slot.
